👋 Are you looking to manage files on CareApp?

CareApp makes it simple to securely store, share, and manage important documents and links — all in one place. Whether you're uploading a care plan, sharing a policy update, or checking who’s viewed a file, here’s how it all works.

🔍 Finding Files in CareApp

All files are stored within each customer’s Profile, under the Files tab. This includes anything you’ve added as a Document Post or a Link Post. Once uploaded, files automatically appear here for quick access.

 

👩‍💼 Who Can Manage Files?

Only Site Coordinators and Provider Administrators have the ability to upload, edit, or delete files in CareApp. This helps ensure content is managed appropriately.

 

👁️ Controlling Who Can View Files

When uploading a file, you can choose exactly who you want to be able to see it — such as specific staff roles or family members. These visibility settings appear directly on the file, so it’s easy to confirm who has access.

Privacy by design

Family Representatives CAN view files if selected.

Family Followers CANNOT view files — this privacy setting ensures sensitive information is only shared with the right people.

You can update a file’s visibility at any time by editing the post or changing to role of a Family member.

 

➕ Uploading New Files

Adding new files is easy! Simply create a Document or Link post on CareApp, select the customer profile, and it will automatically appear in their files.

✏️ Managing Existing Files

To edit, delete, or review a file’s history:

  1. Go to the Files tab within the customer's profile.
  2. Tap the three dots (⋮) next to the file.
  3. Choose an option:
    • Edit to change the content or who can view it.
    • Delete to permanently remove the file.
    • View History to see who has accessed it and when.

FAQ

Can families see files?

Only Family Representatives can view files (if selected). Family Followers cannot.

 
 

Can I update who can see a file after it's posted?

Yes, just tap the three dots next to the file and choose Edit to adjust visibility settings.

 
 

Can I see who has viewed a file?

Yes, tap the three dots and select View History for a full access log.

 
 

How do I change a family member’s role (e.g. from Follower to Representative)?

To update a family member's role:

  1. Go to the customer's profile.
  2. Tap the Community tab.
  3. Find the family member you want to update.
  4. Tap the three dots (⋮) next to their name and select Edit Role.
  5. Choose the new role (e.g. Representative) and save.
